How to Use the Time Card Calculator

A time card calculator takes the guesswork out of tracking your weekly hours. Whether you are an hourly employee verifying your paycheck, a freelancer billing a client by the hour, or a manager reviewing timesheets, this tool gives you instant, accurate results without spreadsheets or manual arithmetic.

Step 1: Choose Your Time Format

Use the toggle at the top to select either 12-hour (AM/PM) or 24-hour format. If you prefer entering times like 9:00 AM and 5:30 PM, choose 12-hour. If your schedule uses military time such as 09:00 and 17:30, choose 24-hour. You can switch formats at any time and your entered times will be preserved.

Step 2: Enter Your Daily Times

For each day of the week (Monday through Sunday), enter your clock-in time, clock-out time, and break duration in minutes. Leave any day blank if you did not work that day — the calculator will automatically skip it. For overnight shifts where you clock out after midnight, the tool detects the day rollover and calculates the correct hours automatically.

Step 3: Add Your Hourly Rate (Optional)

Enter your hourly wage in the rate field to calculate gross pay. The calculator applies your base rate to regular hours and 1.5 times your base rate (time-and-a-half) to overtime hours, following FLSA overtime rules. You will see a breakdown of regular pay, overtime pay, and total gross pay for the week.

Step 4: Review Results and Print

Click Calculate to see your weekly totals: total hours worked, regular hours, overtime hours, and days worked. The results update each time you click Calculate. When you are satisfied, click Print to generate a clean, printable time card — all buttons and controls are hidden in the print view so you get a professional-looking record. Use Clear to reset all fields and start a new week.

How Overtime Is Calculated

The calculator uses the standard US method: daily overtime applies when you work more than 8 hours in a single day, and weekly overtime applies when your total hours exceed 40 for the week. Daily overtime is tracked and displayed in the table per row. Weekly overtime is the difference between your total hours and 40 (or zero if under 40). Both are factored into the pay calculation if you provide an hourly rate. Note that overtime rules vary by state and employer — this tool uses the most common federal FLSA standard.

Frequently Asked Questions

Is this time card calculator free?

Yes, this time card calculator is completely free to use with no account, registration, or payment required. All calculations happen directly in your browser, so your work hours and pay data stay private on your device.

How is overtime calculated?

Overtime is calculated in two ways: daily overtime applies when you work more than 8 hours in a single day. Weekly overtime applies when your total hours for the week exceed 40 hours. The tool calculates both and uses whichever results in higher overtime pay for you.

How do I enter break time?

Enter your break duration in minutes for each day. Common values are 30 minutes for a half-hour lunch or 60 minutes for a full-hour break. The tool subtracts the break from your total time between clock-in and clock-out to calculate your actual paid hours.

Can I use 12-hour or 24-hour time format?

Yes. Use the toggle at the top to switch between 12-hour (AM/PM) and 24-hour format. Both formats are fully supported. You can switch formats at any time and existing entries will be preserved.

How is gross pay calculated?

Enter your hourly rate in the optional Pay section. Regular hours are paid at your base rate, and overtime hours are paid at 1.5 times your base rate (time-and-a-half), as required by the Fair Labor Standards Act (FLSA) for most US employees. The tool shows regular pay, overtime pay, and total gross pay separately.

Does this tool save my time card data?

No data is saved or transmitted. Everything runs locally in your browser using JavaScript. When you close or refresh the page, your entries are cleared. For record-keeping, use the Print button to generate a printable copy of your time card.

What if I work past midnight?

The calculator handles overnight shifts. If your clock-out time is earlier than your clock-in time (for example, clock-in at 10 PM and clock-out at 6 AM), it automatically adds 24 hours to account for the day rollover and calculates your hours correctly.
